How to Reserve a Campsite for NTXCA Campouts:
Here is the procedure to follow to reserve your campsite:(This
information is usually included in the emails announcing our campouts)
1.Call Texas Parks and Wildlife at 512-389-8900 to reserve a site.
Make sure (this is very important!) that you pay for both nights in full.
Get the reservation number and write it down.
2. Send your organizer an email with your name and the reservation number.
3. Should you decide to cancel, it is your responsibility to call TP&W and
inform them of your cancellation and deal directly with them regarding any
refund. If you cancel, send your organizer an email to let them know.
Suggestion: if you need to cancel - email the group to see if someone who did
not make reservations is interested in your reservation if you can sell your
reservation on to someone else you avoid cancellation fees.
4. Your site will be claimed on the first day of the campout by the Scout. The
first come/first served policy remains the same on choosing a site from those
claimed by the scout when you arrive at the park.
General Guidelines:
1) When arriving for a campout, tell the park office you are with the NTXCA group and
mention the name of the organizer for that trip. The reservations will be in
your name but the scout will have claimed them as a group. If they want to assign you a site at the park office, let them. You can tell
them later where you actually parked if you wish or they require it. After you get to the
camping area the sites for our group are usually marked, if not find the organizer or scout for the trip and they will know what sites we
have and which are still available. If the sites are marked then take the first
empty one that you like. Sites are given on a first come, first served basis.
Make your organizer and scout aware of any special needs you may have. They will try to
accommodate you if they can.
2) Please be as responsive to NTXCA email as
you can. Those organizing and scouting campouts are uncompensated group members helping
you. Show them you appreciate their time and efforts with your promptness.
3) The weather in Texas is the single most unpredictable thing I am aware of. I
would encourage you not to base camping decisions on last minute forecasts.
4) The scout will only claim reservations once. If the campout starts on a
Friday the scout will claim all reservations on Friday morning.
The Details:
The North Texas Camping Association plans typically six campouts per year in Texas
State Parks. Our current schedule has been January, March, May, July, September, November.
Also we have recently had a New Years Campout as well.
Campout locations and dates are determined by a committee. The NTXCA Planning Committee
consists of 7 members. Currently they are:
Mike Melton
Bob Pitney
Russell Fife
Laurie Campbell
Mike Mason
Robert Ditmore
Joe Huber
Committee members serve an indefinite term. Resignation and appointment to the committee
is an informal matter handled by the committee itself under the direction of Mike Melton
& Bob Pitney as founding members of the group. The committee conducts its business
primarily via email. As vacancies occur on the committee, members of the group will be
approached to fill them. The primary criterion for membership on the committee will be
participation in campouts. The only requirements for membership on the committee are
membership in the group and having attended at least one campout.
Group members are encouraged to make suggestions to the committee. The committee will
select campout locations and dates attempting to rotate through different geographical
areas (N,S,E,W) that are generally located within 200 miles of the Dallas-Fort Worth
Metroplex. Consecutive campouts in the same geographical quadrant will be avoided. Dates
will be selected by the committee based on member feedback and participation.
Criterion for park selection will include minimum facilities of water/electric hookups.
NTXCA does not "dry camp" at this time. At parks having more complete
facilities, the highest level of facilities available will be preferred and exhausted
before lessor facilities are reserved. Further concerns will be adequate access to the
dump station for gray water disposal and adequate shower facilities.
Upon final decision by the committee for campout date and location a NTXCA member will be
invited to act as scout and another as organizer for the event. Often these are
the same person. The organizer will announce the location, date, and area of the
park where we will be staying by email. This is usually in the form of class of
service of the campsite like water/electric/sewer or water/electric campsite. At
this point individual members should make reservations with TPW for the dates
specified and send their reservation numbers to the organizer by email. The organizer is
responsible for collecting the reservation numbers for the campsites Each
individual member is responsible for making their reservations and paying for
them in advance and in full. Additional fees may be collected for group pavilion reservations or other costs that might
be charged to the group at the campground. The organizer will send a series of emails that
status the details of the campout such as location,
date, & list of attendees.
NTXCA will not hold any assets nor will it have a standing position as treasurer to
manage such assets. All collections will be targeted to cover known and expected expenses.
The scout is responsible for claiming the group sites on the morning of the
first day of the event. State Parks normally open and allow reservations
beginning at 8:00 am.
Refunds and Cancellations:
Individual members are responsible for their own reservations and any refunds or
cancellations. They are to deal directly with TPW Any money collected by NTXCA
for group facilities will be paid to the TPW. There will be no refunds.
